Operations/Administrative Assistant - Xinet GmbH

Xinet is looking for a full time operations-administrative assistant for its Xinet Europe office located in Munich, Germany. Founded 15 years ago, Xinet develops Digital Asset Management software for the advertising, printing, and publishing industries.   • Answer and route incoming phone calls
  • Review customer purchase orders for accuracy in pricing and other required information
  • Process customer orders within the company's database and accounting systems
  • Handle software licensing requests and inquiries
  • Create and update customer and integrator database records
  • Ship software and literature packages to customers
  • Update cash account entries
  • Process and pay accounts payables
  • Process and monitor accounts receivables
  • Monitor and process VAT when applicable
  • Prepare monthly payroll, payroll tax, social insurance and health insurance payments
  • Serve as liaison between company's bank and Berkeley accounting staff
  • Work with the company's accounting and tax consultants
  • Serve as liaison between accounting consultants and company's Berkeley accounting staff
  • Work with accounting, operations and sales staff as required
  • Provide assistance with other office administration tasks as needed
  • This position reports to both Xinet's Chief Operating Officer and Chief Financial Officer, who are based in Berkeley, California. You will also have the opportunity to work very closely with Xinet's sales staff. This is a demanding position with a lot of responsibility: it requires a lot of ongoing communication with staff in other company departments, as well as the ability to work autonomously. Applicants should have the following talents, education, and experience:

  • Be flexible and self-sufficient.
  • Have excellent English and German speaking skills.
  • Have strong written and verbal communication skills.
  • Have a proven ability to prioritize tasks and make informed decisions.
  • Be committed to providing excellent customer service, helping Xinet preserve and extend its long term relationships with its software endusers and integrator sales channel.
  • Be a quick worker who is attentive to detail, able to follow complex procedures, and adept at anticipating problems before they occur.
  • Have good computer skills, including familiarity with basic software such as Microsoft Office. Familiarity with Macs is great but non-essential.
  • Also of interest but not required is experience with CRM software or other types of database tools.
  • Have a mature understanding of teamwork and be comfortable in a team environment.
  • Education: a Bachelor's or Hochschulabschluss degree is preferred.

    This is a full-time position and salary is commensurate with experience. Xinet offers a casual yet fast-paced corporate lifestyle. Standard work hours at Xinet GmbH are 09:00 to 17:00, Monday to Friday. Flexibility will be needed regarding work hours as the company's business hours in Berkeley are 06:00 to 18:00, and communication by teleconference with the Berkeley office will be required.
